Manager of Membership Services

The Membership Services Manager serves as the primary point of contact between BICSI membership and customers. The Membership Services Manager manages a team of membership representatives to promote and sell BICSI products and services, influences member retention and acquisition to industry professionals. The Membership Services Manager works closely with the Director of Membership and Marketing and with other departments to enhance the BICSI members experience and advises on methods to improve upon existing systems or other member touch points.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Membership, Acquisition and Retention
  Conducts analysis of the current state of membership
  Defines objectives for improvement
  Develops membership procedures and monitors implementation
  Develops strategies for achieving membership recruitment and retention goals
  Supervises membership renewal and acquisition processes
  Manages BICSI Gear (logoed clothing & accessories)
Records Management
  Responsible for the Association Management System (AMS) user interface and data entry
  Works closely with IT to maintain integrity of member data, including organization of member information, renewal invoicing and new member processing.
  Ensures high quality records management and customer service for existing and potential members.
Staff Management
  Manages Membership department.
  Serves as a coach and mentor to the department staff; performs initial and on-going training for staff and develops effective strategies and programs for the staff’s professional development.
Committee Responsibilities
  Assists the Director of Membership and Marketing in supporting the activities of the Membership Outreach & Development Committee.
  May serve as a staff liaison to a standing committee to include duties such as guidance, participation in meetings and conference calls, providing recommendations, assisting with agendas, recording and filing of committee documents.
Budget Management
  Develops and manages the department budget and goals
  Provides financial and numerical analysis of membership numbers and budget.
     

Requirements:

  • Bachelor’s Degree or equivalent experience.
  • Five years of association membership management experience.
  • Three years of staff management experience, including: hiring & training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems, providing feedback and conducting performance evaluations.
  • Demonstrated project, organizational, analytical and leadership skills. Visionary, ability to balance “big picture” thinking with attention to detail.
  • Exceptional oral and written skills with the ability to deliver clear and effective messages to all stakeholders.
  • Demonstrated experience in the use and maintenance of association management software applications; Clear Vantage is preferred. Proficiency in MS Word, Outlook, Excel and PowerPoint.
  • Travel – 10%. Travel will include attendance at conferences, regional meetings, trade shows and other industry events. Must have or be able to obtain a US passport for international travel.

Membership Coordinator

The BICSI Membership Coordinator provides comprehensive, high-quality customer care to BICSI members, prospective members and customers via telephone, email and face-to-face. Serves as a one-stop resource by maintaining expert knowledge of all BICSI products and services. Advises members & non-members by promoting and cross promoting all member services and BICSI products. Influences member acquisition by enrolling industry professionals and corporations with BICSI memberships. Retains and engages existing members, while cross promoting BICSI products, conferences, and classes.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Answer inbound phone calls to BICSI and serve as a one-stop resource for member and customer questions by working with all BICSI departments.
  • Provide timely, helpful, and accurate customer service, including email, telephone, and written communications.
  • Contribute to BICSI’s sustainability by effectively managing all member accounts, by acquiring new members and retaining existing members.
  • Assist in development and implementation of membership campaigns.
  • Maintain membership database and maintain integrity of member data, including organization of member information, renewal invoicing and new member processing.
  • View, merge and print weekly, bi-monthly and monthly membership reports.
  • Develop knowledge on all BICSI products and services to serve as a resource specialist for members and customers.
  • Facilitate the successful completion of membership creation and renewals, including the preparation of correspondence, dues notices, special mailings, mailing lists, and follow-up retention calls.
  • Build and sustain strong member relations through attentive detail in handling member requests and volunteer interaction.
  • Perform data entry of new and renewal memberships, meeting and conference registrations, class and exam registrations, and orders for publications.
  • Document and contribute to the improvement of current membership processes and procedures.
  • Provide coverage of the front desk area as needed.
  • Performs other duties as assigned.

Education/Experience:
High School Diploma required or four years related experience and/or training; or equivalent combination of education and experience.
Previous association or non-profit environment preferred.

Language Skills:
The individual must be fluent in English (reading, writing and speaking). Fluency in Spanish (reading, writing and speaking) is highly desirable.

Computer Skills:
To perform this job successfully, and individual should posses an above average working knowledge of Word, Excel, Outlook, PowerPoint, and the Internet. Experience with a Customer Database system is desired, but not required.

Supervisory Responsibilities:
None

Travel:
0-3% may volunteer to work one conference per year. Must have or be able to obtain a US passport for international travel.

ICT Training Delivery Specialist

The primary role for this position will be to serve as a remote/traveling Instructor delivering and teaching BICSI training programs. The secondary role is to serve as a subject matter expert in the field of ICT.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned.

Serves as class trainer for remote classes and at BICSI HQ as needed
  Practices excellence in teaching and instruction
  Follows all association policies and procedures related to instructional activities
  Follows BICSI approved curriculum when training in the classroom
  Uses effective teaching and learning strategies to communicate subject matter to students
  Maintains current knowledge of industry practices related to the delivery of instructor-lead, blended and facilitated online courses
  Maintains knowledge of industry practices through engagement in academic, professional and technical development activities
  Plans and organize instruction in ways to maximize student learning
  Meets and assist students reasonable requests
  Engages in academic, professional and technical updating activities
  Represents BICSI in a positive and professional manner at all times
  Supports and promotes BICSI programs and services
Serves as Subject Matter Expert
  Works with Instructional Designers and Technical Editors as content experts; responds promptly to their requests
  Responds to Member requests regarding technical information
  Responds promptly to phone and email requests for information; internal and external requests
  Adheres to and promotes BICSI’s position as it relates to standards, codes and technical practices
  Maintains current knowledge of industry practices, procedures, codes, standards and operations
  Review and analysis of internal and external subject matter and assigns appropriate continuing education credits in accordance with established policy and procedures
Serves as Quality Control Specialist
  Performs audits of
    Third Party ATF’s, ADTP’s, Labs and Classes
    HQ Labs and Classes
  Closely adheres to established policy and procedures for conducting audits
  Prepare reports and recommended actions after conducting audits
  Builds and maintains appropriate relationships with vendors
Other duties
  Inventory control of classroom materials
  Donation fund raising of discounted tools, equipment for classroom materials
  Classroom upgrades/maintenance
  Mobile classroom inventory, maintenance and upgrades
  Assists with the T3 (Train the Trainer) process & evaluations
As with all members of the PD Department, serves as a liaison and representative for member needs including, but not limited to, the following:
  Responds promptly to miscellaneous member and nonmember inquires, via telephone, email or other such appropriate method
  Maintains awareness of member needs/concerns
  Evaluates and forwards member concerns to department management
Performs other duties as assigned.

Travel Requirements:
50% including: offsite teaching, BICSI conferences, third party training facility audits, and possible industry events. International travel may be required. Must have or be able to obtain a US passport for international travel.

Math Ability:
In addition to the basic math skills, the ability to perform the following math skills are required:

  • Area and geometrical calculations
  • Understanding and interpreting graphs
  • Calculating fractions and percents

Measurement requirements include understanding and conversion of metric and empirical numbers. The accurate recording and communication of measurements, calculations, and data are an integral part of the success of this position.

Work Environment:
This is largely a telecommuting position working out of a home office and the BICSI HQ offices. A large percentage of time will be spent traveling and teaching classes off site in hotel conference rooms and training facilities. Traveling will include visits to conduct quality audits, classroom maintenance and mobile classroom. The office work environment is a cubical atmosphere, where low to moderate noise or sound will be heard from or made by others sitting around you. It is usually pleasant with minimal loud disturbances.
